Dentrace (“Dentrace”, “we”, “us”, or “our”) is the compliance and traceability engine behind Trace Your Coffee, our first product. This Privacy Policy explains what information we collect through our website, our products, and our platform; why we collect it; and the choices you have. It applies to everyone who interacts with Dentrace — coffee exporters, cooperatives, processors, roasters, consumers scanning a QR code, and prospective partners exploring the engine for other supply chains.

We collect information in the following ways:

  • Information you provide — such as your name, email address, company, phone number, and the details you share when requesting a demo, contacting support, or filling in a form.
  • Operational data — plot polygons, GPS coordinates, farmer records, supply-chain documents, and similar data that customers upload to the Dentrace platform through Trace Your Coffee or other products.
  • Technical information — device, browser, approximate location, and usage information collected automatically when you visit our website.

2. How we use information

We use the information we collect to:

  • Provide, maintain, and improve the Dentrace engine, the Trace Your Coffee product, and the website.
  • Respond to demo requests, support enquiries, and other communications you initiate.
  • Generate compliance documentation requested by customers or required by regulation.
  • Detect and prevent fraud, abuse, and security incidents.
  • Meet our legal and regulatory obligations.

3. Sharing of information

We do not sell personal information. We share information only with service providers that help us run Dentrace (such as hosting, email, and analytics partners), with EU importers and competent authorities when our customers explicitly authorise it for compliance purposes, and where required by law. Service providers are contractually bound to protect the information they handle on our behalf.

4. Data security

We use industry-standard technical and organisational measures, including encryption in transit, role-based access control, and regular reviews, to protect information from loss, misuse, and unauthorised access. No system is perfectly secure, so we encourage you to use strong, unique passwords and to report any concerns to us promptly.

5. Data retention

We retain information for as long as it is needed to provide our services, comply with legal obligations, resolve disputes, and enforce our agreements. When information is no longer required, we delete or anonymise it.

6. Your rights

Dentrace operates from Ethiopia and works with partners and customers in the European Union and elsewhere. When information is transferred across borders, we use safeguards such as standard contractual clauses where appropriate.

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date at the top of the page. Material changes will be communicated through the Dentrace platform or by email where appropriate.
